Privacy & POPIA
How this website and the Exam Reader software handle personal information, under the Protection of Personal Information Act (POPIA).

This website
When you send an enquiry through the form on this site, we receive the details you type in — your name, role, school, contact details and message — by email. We use them to answer your enquiry and to follow up about Exam Reader. We will never sell your information, and we will not add you to a mailing list without asking you first.
We process these details on the basis of the consent you give when you tick the checkbox on the enquiry form.
The form does not store your details in a database on this website. Standard web server logs, which record IP addresses and requested pages, are kept by our hosting provider for security and diagnostics.
We keep enquiry emails for up to 12 months from when they are sent, then delete them, unless we need to keep something longer to meet a legal obligation or resolve a dispute.
Keeping information secure
We use reasonable technical and organisational measures to protect the information we hold. This includes limiting access to the people who need it, and relying on our hosting provider for server-level security. These measures are proportionate to the fact that this website only ever holds enquiry details, never learner data.
The Exam Reader software
This is the section that matters most to a school, so here is exactly how it works:
- Exam Reader is installed on the school's own server. The school is the responsible party for the learner information held in it.
- Candidate records, uploaded exam papers, teacher-approved spoken text, generated audio and session logs are stored on that server, on the school premises.
- We do not host, receive or have routine access to any of it. Page images are processed for OCR on the school's own machine.
- The one exception is optional: if the school chooses to enable Azure Neural TTS, the text of exam segments is sent to Microsoft's South Africa data centre to be converted to audio. That data stays within South Africa. The feature is off unless the school turns it on and supplies its own subscription key.
- If a school asks us for remote support, we access the system only with permission and only for as long as the support call takes.
Your rights
Under POPIA, you have the right to request a record of the personal information we hold about you, and to ask us to correct or delete it. For information held inside a school's Exam Reader installation, that request goes to the school, since the data is theirs.
